Apartment building access control for rental owners
Tenants come and go; keys should not. Vega Access gives each tenant the doors they need from the day their lease starts, stops access when it ends, and keeps a record of everything in between.
The real cost of keys in a rental building
Every lease change in a building with metal keys means collecting keys that may or may not come back, deciding whether to re-key the unit, and cutting copies for the next tenant. Copies made by previous tenants are invisible. Common doors are worse: the entrance key, the laundry room key and the storage key travel from tenant to tenant for years. Fob systems help, but a fob system that only an installer can program puts every change on a service call.
Apartment building access control should make a lease change a few clicks: give access, take it back, and know who has what.
How Vega Access handles the life of a lease
Before move-in
Create the tenant in their unit and issue a card, fob or phone sticker with a start date on move-in day. You can hand it over a week early; it only starts working on the date you set. The tenant can also receive an app invite by email. The tenant app opens only the doors they are allowed to use. The mobile apps are rolling out; until they reach your building, tenants use cards, fobs, phone stickers or PIN codes.
During the lease
One fob opens the unit door and the common doors you choose: entrance, laundry, storage, garage. If a tenant loses a fob, mark it lost; it is blocked at the doors through the gateway and stays on record with its history, and a replacement is issued in a minute. If a tenant is locked out, an authorized admin can unlock the door from the web panel through the gateway, and the unlock is recorded with who, when and which door.
At move-out
An end date stops the credential on its own, so access ends with the lease even if nobody remembers. Ending the lease in Vega Access archives the tenant and takes their fobs off the doors, while the history of the unit stays intact. There is nothing to re-key and nothing to collect except the fob itself.
Contractors, cleaners and visits
Painters between two tenants, a plumber for a week, a cleaning company for the length of its contract: each gets a card or PIN code that expires on its own. For a single visit, an authorized admin can open the door remotely when the person arrives. In Quebec, a landlord who wants to visit or work in an occupied dwelling must give the tenant notice in advance (24 hours under the Civil Code, except in an emergency); Vega Access does not change that obligation, but the audit log shows exactly when a door was opened and by what means.
Locks that suit rental units
Unit doors usually get battery smart locks, which are installed without running wires to each door. Vega Access works with locks built on the TTLock platform, connected through G-series gateways, one or more per floor depending on the layout. Many models accept cards, fobs, phone stickers, PIN codes and fingerprints, depending on the lock. The compatible locks page explains how to check yours. For common doors with wired readers, WLock (UniFi Access) doors sit in the same panel.
Batteries are a real maintenance task in a rental building. Vega Access shows the battery level of each lock, alerts your technician below a threshold you set per building, and logs every battery change with the date and who did it.
What owners and managers can see
- A tenant list per unit, with each tenant’s fobs and the doors they open.
- Every entry by door, method and time, and every action by your team.
- Lost, broken and disabled cards with their history, never silently deleted.
- CSV export of any list and a full Excel export of doors and cards.
Tenants’ information is visible only to the people whose role needs it. Vega Access is hosted in a Canadian data centre (the lock vendor’s cloud may be outside Canada) and is built to support Law 25 and PIPEDA; see security and privacy.
Pricing for a rental building
Each plan includes a number of Smart Lock doors, and pricing is quoted for your buildings and support level. Count your doors with the calculator and compare plans. Locks and gateways are bought separately.
Questions landlords ask
Can a tenant’s access start on the first day of the lease?
Yes. Every card, fob and phone sticker can have a start date and an optional end date, so access starts and stops on the dates you set.
Do we need the internet for the doors to work?
No. Locks store their credentials, so cards, fobs, codes and fingerprints keep working without internet. Remote unlock, live entry logs and new changes wait for the gateway to reconnect.
Can we see who entered a unit?
The lock records each entry with the card or method used and the time. Vega Access records entries, not exits, and only authorized roles can see the records.
